Westwood Estates CIA Annual Meeting January 27, 2020 at Mary Branch Elementary School

Call to order:  6:42 p.m.

Members of the board and residents present:  12

Minutes from last annual meeting:  reviewed and accepted

Treasurer Report:  $32,421.58.  For additional information, please contact Association Services by email:

Old Business:

Board moved to have Association Services turn past dues of $200+ to collection agency.  Motion carries.

National Night Out 2019 was well attended by residents (over 100) and city officials.  It was sponsored by John Byers.

New Business:

Theft, vandalism and children playing unsafely in middle of Westwood Main.  The board is encouraging residents to immediately call Bryan Police if you see any of this activity 979-361-3888.

Two board positions open:  Mark Coppock and John Byers were voted in and re-elected to the positions.

Association Services was voted to continue to do Westwood Estates HOA services.

If you have any concerns, please call Mike Stafford 979-218-5855.  Mike works closely with the board.

Board Meeting minutes 11-18-2019

Westwood Estates Community Involvement Association

WECIA Nov.18, 2019 Board Meeting

Call to order 7:05 p.m. at the park

Board members present:  Shelton, Mark, Michael, Elaine, John

Others present:  Mike Stafford

Minutes from last meeting approved

Treasurer’s Report:  $33,263.78

Old Business:  Halloween in the park was held Oct. 31.   It was well attended with approx.. 135 total.  John Byers sponsored; providing food, bounce house, haunted house.

John will turn in receipts to board for reimbursement on some items.

Board approves Mike S. to represent the board in visiting residents at homes that are behind in payment of HOA dues.  After that, legal process in in place for collecting.

Board is still waiting for bids for park tree trimming.  If anyone is interested please contact us.

New Business:  2 board positions open for 2020.

Annual WECIA Board meeting set for Jan. 27 at 7 p.m.; location to be announced.  Board will have a short meeting before annual meeting.  Proxies will be mailed out by Association Services.

Next meeting will be held immediately before the annual meeting on January 27.

10-8-2019 Minutes

WECIA Oct. 8, 2019 Board Meeting

Call to order 7:10 p.m. at the park

Board members present:  Shelton, Mark, Michael, Elaine

Others present:  Mike Stafford, Sabrina Clark

Old Business:  Halloween in the park, Oct. 31.   John Byers will sponsor; providing food, bounce house, haunted house.

Board members will help make people aware of announcements during the party.

Start time is 5:30 p.m.

Board will cover the expense of the costume contest prizes.

For future parties, we should consider serving homemade ice cream (made by residents.)

New Business:  1)  review and inspect park trees

2)  trailer parked on Wilderness was observed, no violations found

3)  board voted and approved Mike S. to spend up to $850 for merry-go-round paint and repairs.

Board members present:    Elaine Platt, Mark Coppock, Shelton Riggins, Michael Brackin, John Byers

Minutes from previous mtg.:approved as read

Treasurer’s Report: $34,190.07

 

Block and Officer’s Report:attempts are being taken to assure lawns are maintained, cars are appropriately parked.  Other minor complaints will be handled when possible.

 

Old Business:

Board has reviewed bid for park maintenance and repairs

Board approves repainting of entrance signs ($326.43) and park signs ($283.24) repainting the park slide ($188.55) and repairing/replacing soccer goals ($457.45).  Total for maintenance is $1255.67.  This work will be completed by John Coppernoll.  He is currently the park maintenance.

 

Board will set aside for discussion; trash can replacement, volleyball net replacement, and park rules sign.

 

Merry – go – round will be repaired.

 

Easter party expenses will be reimbursed.

 

Board will discuss further the park retaining wall.

New Business:

National Night Out party in the park planned for October 1.  Flyer will be at residence doors.

Minutes from previous mtg.: approved as read

Treasurer’s Report: not available; email Association Services for report

 

Block and Officer’s Report: attempts are being taken to collect past due HOA dues.

Violations for unmowed yards, trash cans in street, etc. have been reported to city    code enforcement.

 

Old Business:

86 people attended the Friday Easter party in the park

New Business:

Board has reviewed bid for park maintenance and repairs.

Signature cards for HOA bank account were completed.

Block and Officer’s Report: nothing to report

 

Old Business:

  •             Park maintenance has mulched park gardens and will be reimbursed.
  •             Basketball nets will be here soon and will be installed.
  •             Tetherball nets have been installed.
  •             Soccer nets and volleyball nets will be replaced soon.
  •             Problem with water collecting at bottom of park slide has been resolved.
  •             Website has been updated with new board member information.

 

New Business:

  •             Discussion of replacement of park play area retaining wall has been started and will be ongoing.
  •             3 residents in HOA debt.  Mike S. will attempt to collect or legal action will be taken.
  •             Easter Party is Friday April 19 from 5:30 – 7 p.m. at the park

Board Positions:  Mike Stafford has stepped down from board position.  3 positions are open.  Michael Brackin, Elaine Platt, and Shelton Riggins were voted to fill the positions and the board has accepted.  Positions are as follows:

President:  Michael Brackin

Vice President:  John Byers

Secretary:  Elaine Platt

Treasurer:  Mark Coppock

At Large:  Shelton Riggins

 

New Business:

The website will be updated with accurate information.

The board approved Mike S. to purchase soccer nets.  The board approved resident Sabrina Clark to purchase basketball rims and nets.   She will be reimbursed.
