WECIA Board meeting of Monday April 18, 2022   –   minutes

Call to order:   7:00 p.m.

Members present:  all board members present plus 4 homeowners

minutes from March board meeting:  minutes were approved as written

Treasurer’s report:  see minutes from 2022  Annual Meeting for the last report

Block Reports:   Rolling Glen needs a block captain and Patti Edgar has volunteered

Old Business: 

•  Easter Party 2022 had a good turnout with 80+
• Service pole (with light) at Hummingbird Park entrance still needs replacing.  A committee has been appointed to research possible solutions.

New Business:

•  placement of member positions for 2022 are as follows:

President – John Byers

Vice President – Billy Evans

Treasurer – Elaine Platt

Secretary – Mike Stafford

Member at Large – Mark Coppock

•  Park Maintenance Contract:  approved for 2022 for Mike Stafford
• future board meetings:  will be held on third Monday of the month unless otherwise noted except for June 13 will take the place of June 20
• meeting announce yard signs:  we now have new signs that were made by Association Services
• WECIA board is considering using an app for communication between board members and with homeowners

Westwood Estates Community Improvement Association

Board Meeting Monday March 28 – minutes

Call to order:  6:17 p.m.

Roll Call:  16 people attended; 4 board members, City of Bryan Code Enforcement officer Mary, Jack Gressett with Association Services, and 10 residents

Minutes from last meeting:  minutes were approved as posted

New Business:

1.  Easter party at Westwood Park will be Thursday April 14 at 6 p.m.  There will be an Easter Egg Hunt and pizza
2. A third trash can will be placed in the Westwood Park yard specifically for dog waste.

Block Report:  Chain saw sounds are reported to be heard in the forested area between Westwood Main and Traditions Drive.

Next Board Meeting:  The next board meeting will be announced soon.

Westwood Estates Community Improvement Association

Annual Meeting of Monday March 28, 2022 – Minutes

Call to order:  7:00 p.m.

Roll Call:  17 people attended; 4 board members, 11 additional homeowners, 1 member of Association Services, and City of Bryan Code Officer

Minutes from last meeting:  Minutes were approved as posted

Financial Reports:  as of December 31, 2021 balance is $29,476.01

Old Business:

1.  Unfinished driveway on Westwood Main concerns were brought up to the Code Officer present.  City of Bryan had approved the driveway.  Code Officer will do more research.
2. Future Annual Meetings will be held in January as stated in the bylaws
3. Language used on the 2022 Proxy “This proxy to remain in effect for eleven (11) month from the date listed below.” will be changed so that the signed proxy is effective for only the annual meeting it is intended for
4. Newsletter in print will be delivered to doors on weekend of April 9-10.  This newsletter will include Board of Directors information and other important information.  It will also include the WECIA Easter Egg Hunt party announcement.  Party will take place on Thursday April 14.
5. New meeting signage will be made as the current signs are old and hard to see.

New Business:

Board member election: There were a total of 67 proxies collected for this meeting, 15 property owners present which equals a total of 82 votes.

1.  Mark Coppock’s term was up. One new board member has been voted in.  His name is Billy Evans.  His home is on Rolling Glen.
2. John Byers’ term was up.  However, he will continue to serve on the board.

The Westwood Estates Annual Meeting originally scheduled for March 28 at 7 p.m. is now being held at 6 p.m. at the Westwood Park pavilion (same day.) All homeowners are encouraged to attend.

The Westwood Estates Annual Homeowners Meeting has been rescheduled to the following date:

Monday, March 28 at 7 p.m. in the Westwood Park. Homeowners will be receiving the meeting proxies in the mail soon. To make the meeting process go smoothly, please fill it out and bring it to your block captain as soon as possible (if you don’t plan to attend the meeting.) We must have a certain amount of votes if we are to have a meeting.

The Annual Homeowners meeting that is scheduled for Monday, March 7, 2022 at 7 p.m. will be held at the park (originally scheduled for fire station.)

Annual HOA Meeting for 2022 will be held on Monday March 7 at 6 p.m. at the fire station next to Mary Branch School on Villa Maria Rd.

Westwood Estates Community Improvement Association

Minutes–Regular HOA Board Meeting – January 10, 2022

Call to order:  7:01 p.m.

Members Present:  Shelton, Mark, John, Elaine

Guests present:       Chris Galindo

Minutes from previous meeting:  minutes from Sept 9 meeting were read and approved

Treasurer’s Report:  $29,993.00

Block Concerns:

1.  concerns were brought up regarding campers parked in driveways, cars parked permanently in street, and excess cars parked along curve on Westwood Main

Old Business:

1.  Chris Galindo has objected to any modifications of the date change of the annual meeting as stated in the WECIA by-laws as annual meeting date has been temporarily changed due to not having an indoor location for the meeting.
2. An addition to the 2022-2023 park maintenance contract will include that the individual will be paid on a fixed monthly schedule.  This item needs to be voted on at the next scheduled meeting.

New Business:

1.  2022 Annual Meeting is scheduled for Monday, March 7 at 7 p.m. in the park.  There will be a scheduled board meeting at 6:30 p.m.
2. board position voting proxies will be mailed out in advance of the annual meeting

WECIA board meeting agenda, September 20, 2021

Call to order: 7:00 pm

Members present: Shelton, John, Mike, Elaine plus 2 guests

Minutes from last meeting approved:  yes

Treasurer’s Report:  not available

Block Reports:  items from leaning pole on WW Main were left behind and the pole is still under repair

Old Business:

1)  water leaks in the park; repairs have been made by Mike Stafford

2)  installation of community little library; library is installed and ready for visitors; located at park entrance on WW Main

3)  Payment for park maintenance for past two months and for light installed at pavilion will be sent.  Board will check on sending out payment on a fixed day of the month.  Association Services reimburses members for work or purchases.

4)  National Night Out Party for Oct. 5 is registered; first responders should visit the party

New Business:

1.  Three block captains (Debra, Walter, and Brad) have been left off the newsletter.  They will be contacted and added as amendment to newsletter

• Blind curve on Westwood Main is dangerous when there are vehicles parked.  Board will check into this hazard.

•  Annual meeting which is normally in January will be moved to March so that the park pavilion can be used for the meeting
