MINUTES 08-15-16

 

Call to order: 7:03 p.m.

 

Board members present: Elaine, Isaac, Jim, and Mike

 

Minutes from previous mtg.: reviewed and accepted

Treasurer’s Report: $30,882.52

Block and Officer’s Report: nothing to report

Old Business:

Mike S. moved to ensure that any board member obtains permission from all board members to make any decisions concerning repairs or removal of any type in the community. Motion carried.

Trees were trimmed along some trails in park. One park grill in woods was removed.

Park Rules sign wording has been agreed on. The board authorizes Mike S. to go forward with getting a new sign made.

New Business:

National Night Out: October 4. Will be held in the park.

Halloween party will be hosted by the HOA board on Monday, October 31 – 5:30 to 7:00 p.m. Pizza, drinks and costume contest.

Board will get accounts past due list from Management Co. (for residents who are several years delinquent on HOA dues) and will determine action to be taken.

Next Meeting:   Monday, September 19 at 7 p.m. at the home of Mr. Carter

MINUTES 07 – 25 – 16

Call to order: 7:05 p.m.

Board members present: Alan S., James C., Isaac L.

Minutes from previous mtg.: reviewed and accepted

Treasurer’s Report: $30,968.44

Block and Officer’s Report: homes for sale or sold. All yards seem neat.

Old Business:

Mowing contract to be viewed by Mr. Russell who is currently keeping park lawn maintained.

Old park rules were discussed; will prepare to get bid on new sign

Alan noted trees need trimming along some trails in park. He plans to take care of it.

Park Grill in woods needs to be removed as it is in disrepair. Board will examine how to dig it out.

Summer newsletters were delivered.

New Business:

National Night Out: First Tuesday in October. Isaac will look into renting a movie projector and screen for entertainment. Agreed to hold it in the park.

There will be a winter newsletter combined with the announcement of the January annual meeting.

Board will host Halloween party, details will be discussed at next meeting.

Next Meeting:   Next meeting will be on Monday, August 15 at 7:000 at the home of Mr. Carter

Call to order: 7:08 p.m.

 

Board members present: Elaine P., James C., Alan S., Mike S.

 

Minutes from previous mtg.: reviewed and accepted

Treasurer’s Report: $32, 487

 

Block and Officer’s Report: Easter party attended by many, approx.. 65 kids

 

Old Business:

 

Park Entrance Sign – replacement still in progress – Mike S. will have wording, materials options and building options for the board to review at next meeting.

 

 

New Business:

Previously elected board secretary has resigned and resignation has been accepted by the board. Mike S. moved to elect Elaine Platt, former board secretary. Jim C. 2nd, voted and motion carries.

As of 4/18/16 board members are as follows:

Alan Shearer – President

Isaac Lopez – Vice President

Jim Carter – Treasurer

Elaine Platt – Secretary

Mike Stafford – Member at Large

Entrance on Traditions and Park entrance signs to be maintained soon.

Newsletter to go out in Spring.

New Park Sign is up.

New Business:

Election of Board Officers for 2016: Alan Shearer, President, Isaac Lopez, Vice President, James Carter, Treasurer, Kimberly Morrison, Secretary.

Easter Egg Hunt will be held at the Westwood Estates Park on Friday, March 25th from 5:30-7:00pm.

The next meeting will be on March 21st at 7:00pm at 3200 Wilderness.

MINUTES – Annual Meeting January 18, 2016

 

Call to order: 7:45 p.m.

 

Board members present: James, Elaine, Walter, Isaac

Others present: D. Cain, A. Shearer, K. Morrison, M. Coppock, D. Sims, B. Hardeman, M. Stafford

Quorum/Proxies: Over 90 proxies = quorum

Treasurer’s Report: $27,043.09

 

Old Business

New Playground equipment was installed in the Westwood Park in 2015.

Excellent attendance at Easter and Halloween parties.

National Night Out – attendance around 100; was recognized by City of Bryan

NextDoor.com – up to 75 members now, very effective

 

New Business:

WECIA has hired a new accountant (Association Services), a bit more expensive but more services offered.  Contract is signed.

Election of new officers to replace Mr. Carter, Mr. Kamphoefner, and Ms. Platt. Mike Stafford moves to elect Kimberly Morrison, Alan Shearer, and Devere Cain. A 2nd received by Mark Coppock. All voted in favor.

3 bids for mowing were received by board. Lowest bid is from Mr. Russell, our current mowing service. All voted in favor.

Board is in the process of hiring a replacement CPA

Two board positions will open for voting at the annual meeting

Board will get estimates to trim trees in the park

Treasurer’s Report: $29,102.96, please note last month minutes report should read $29,949.50

Block and Officer’s Report: nothing to report

Old Business:

The neighborhood Halloween party had 100 in total attendance! A grand thanks goes out to the Staffords who generously provided the entire party.

The Park Entrance sign is still under discussion.

The Board will be getting bids for tree trimming in the park.

New Business:

The WECIA Annual meeting will be held at Mary Branch Elementary School on January 18, 2016 beginning at 7 p.m.

Winter newsletters have been printed and will be distributed to homes soon.

The board is actively pursuing a replacement for our accountant who is retiring. Anyone interested should speak to a board member.
