Call to order: 7:05 p.m.
Board members present: Michael Brackin, Jim Carter, Mike Stafford, Alan Shearer, Elaine Platt

Minutes from previous mtg.: approved
Treasurer’s Report: $33, 891.12
Block and Officer’s Report: resident concerns:
- appearance of neighborhood, i.e. vehicles in lawns, lawn growth, large trailers and cars in street
- theft from driveways and garages
Old Business:
Outstanding homeowner dues are getting paid. Others who are delinquent ($400 or more), legal action will begin.
Newsletter will be at doors in Fall
Volleyball, soccer and basketball nets will be replaced when cooler weather is here. Tetherball equipment will be priced.
New Business:
National Night Out will be Tuesday, October 3.
Halloween in the Park will be Tuesday, October 31. Watch for flyers for both of these events.
Next Meeting: Monday, September 18, 2017 at the park pavilion.

WECIA board meeting scheduled for tonight at 7 p.m. has been cancelled. The next meeting is scheduled for the 3rd Monday of August, 7 p.m.

Old Business:
We have changed insurance to Cincinnati Insurance Company through the Beal Agency
Easter in the park was successful with approximately 80 egg hunters
The Spring newsletter has been printed and distributed
New Business:
There are 5 homeowners seriously delinquent in annual dues. The President will talk with three personally, and the non-resident owners will be referred for further legal action.
Mike Stafford has contributed many hours and material in repairing and improving the playground and volleyball and soccer goal nets.
Next Meeting: June 19, 2017 at the park pavilion.

Block and Officer Report:
- A resident asked if we could start up a mini library. Board approved and suggested it be announced on NextDoor.com
- South entrance (Traditions) sign needs fresh paint

- Insurance choice: Board voted to not renew insurance policy with State Farm and go with Cincinnati Insurance Company which is $740 less for 1 year residential community association policy
- Easter in the Park party will be held April 14, 5:30 – 7:30 p.m.
- Spring newsletter will be at the doors of residents in April
New Business: No new business

Monday, January 16, 2017
Call to order: 7:04 p.m.

Minutes: last year annual meeting minutes read and approved
Treasurer Report: As of January 1 – $27,484.85
Old Business: none
Member concerns:
Jack Gressett of Association Services HOA Management gave an overview of services they provide for Westwood Estates homeowners
Slide in park is in poor condition; paint chipping, steps are steep, water puddles at bottom of slide
New park sign is still in progress. Will mention on sign “For Park
Residents only”
New business:
Election: Quorum has been satisfied as there are 86 members + proxies at meeting. Michael Brackin has volunteered to serve on board and is added to ballot. All nominees (Elaine, Mike and Michael) have been elected by acclamation.
Mowing bids:
Susanna Coppernoll placed a bid. Board voted and accepted bid.
Board voted to continue the services of Association Services for 2017.
Board meetings are held on the 3rd Monday of each month. Residents are urged to attend.
Next regular board meeting: Monday, February 13 (2nd Monday) 7 p.m. at the home of Mr. Jim Carter, 3200 Wilderness

Board authorized 2 additional lawn cuts/park maintenance and will finalize contract with existing contractor by making necessary payment of $280.00
Newsletter in process of being finalized and will be sent for printing to be handed out in January

Treasurer’s Report: $28,872.88
Old business:
Check for $100 paid to Mary Branch for snowcone machine was misplaced. New check will be issued.
WECIA Halloween party was held in the park on Halloween Day, October 31. It was well attended – over 90 people.
The Board authorized Association Services to collect approximately $700 to bring the delinquent dues account of a homeowner to “in good standing” status. Payment must be made within 60 days from time of contact with homeowner.
A partial payment of homeowner dues was made by a homeowner recently. The Board agreed to terms for this situation. Letter to homeowner from Association Services will state that balance is to be paid within 90 days.
New business:
Any resident submitting a bid for park maintenance is to include “hold harmless” agreement OR proof of insurance with WECIA listed as “Additional Insured.”
The Annual HOA Meeting will be held on January 16, 2017 at 7 p.m. at Mary Branch Elementary School cafeteria.

Treasurer’s Report: $30,537.84
Block and Officer’s Report: block reports were discussed
Old Business:
Board authorized Mike S. to contact prospective buyer owning RV and wanting to park at prospective residence to give approval by board members.
Board authorized Jim C. to advise property management to begin process for collecting delinquent homeowner dues.
New Business:
National Night Out: October 4. Will be held in the park. Food, drinks and community service people will be present. Dewberry will have their own party.
Halloween party will be hosted by the HOA board on Monday, October 31 – 5:30 to 7:00 p.m. Pizza, drinks and costume contest.
HOA will purchase a snow cone machine from Mary Branch Elementary School for $100. Will be stored at board member’s home.
Next Meeting: Monday, November 21 at 7 p.m. at Jim Carter’s home on Wilderness
