WECIA board meeting agenda, September 20, 2021
Call to order: 7:00 pm

Treasurer’s Report: not available
Block Reports: items from leaning pole on WW Main were left behind and the pole is still under repair
Old Business:
1) water leaks in the park; repairs have been made by Mike Stafford
2) installation of community little library; library is installed and ready for visitors; located at park entrance on WW Main
3) Payment for park maintenance for past two months and for light installed at pavilion will be sent. Board will check on sending out payment on a fixed day of the month. Association Services reimburses members for work or purchases.
4) National Night Out Party for Oct. 5 is registered; first responders should visit the party
New Business:
- Three block captains (Debra, Walter, and Brad) have been left off the newsletter. They will be contacted and added as amendment to newsletter
- Blind curve on Westwood Main is dangerous when there are vehicles parked. Board will check into this hazard.
- Annual meeting which is normally in January will be moved to March so that the park pavilion can be used for the meeting

Treasurer Report: Balance of $34,938.03 as of 7/27/2021
Minutes from last meeting were approved
Old Business:
- October’s Household Hazardous Waste ad will be visible on WECIA website.
- Leaning utility pole on Westwood Main will be repaired by end of August.
- Architectural Committee Form was updated and sent to Michael Brackin (head of ACC).
- National Night Out of Tuesday October 5 plans were confirmed; community support such as Police and Fire Depts. will be present.
- Halloween Party in the park on October 31 plans were confirmed.
- Annual WECIA newsletter to be mailed out in September. Newsletter will contain relevant information for residents.
- Free little library will be constructed and open soon. A resident has organized the project.
- Mike S. continues to work on the water leaks in the park. Water to the park is currently off until he finishes the project.
New Business:
- Included in the annual newsletter will be names and contact information for block captains. Any neighborhood concerns can be reported to your block captain.
- WECIA website is being edited and is user friendly for residents.

WECIA Board meeting August 2, 2021
Call to order: 7:03 p.m.
Members present: Mike, Shelton, Elaine, Mark. There were 5 guests present.
Minutes from last meeting: minutes were accepted by the board with one amendment: 2 LED lights were installed at the Park by Mike for a total of $160. Reimbursement has been made.
Treasurer report: unavailable at this time
Architecture Committee:
Board will not have further action on gravel driveway issue on Westwood Main at this time. Will be discussed at future meetings.
Block and Officer’s Report:
Utility pole at Westwood Main south is leaning toward ground and will be reported.
RV is parked illegally on Westwood Main and will be reported to City of Bryan.
Old Business:
City of Bryan will be contacted about any yards with grass height over the codes.
New Business:
Association Services information will be visible permanently on the WECIA (Westwood Estates Community Improvement Association) homepage.
Hazardous Waste collection is October 30 from 7 a.m. to 2 p.m.
National Night Out is October 5, 2021. WECIA will have a party in the Park starting at 5:30 p.m. that day. A hotdog supper will be served.
Halloween party in the Park will take place Sunday, October 31 starting at 5:30 p.m. Pizza will be served. Costume contest for ages 0 – 12, with gift card prizes for the winners.
Water leaks at the park – board will get a repair estimate from a plumber.
Board voted on and approved Annual Newsletter which will be distributed in September.
Board voted on and approved $250 towards the installation of a Free Little Library to be built by a resident and placed at the park entrance on Westwood Main.

Old Business:
- memorial for deceased residents Mr. Burl Russell and Mr. James Carter was discussed. We will discuss further about getting something for the park such as a security light at the entrance.
- Disc Golf goals are being considered for the park
- Action on gravel driveway on Westwood Main. Board will address the problem with a letter to resident from Association Services.

- past due HOA dues total: $3,861.00
- Annual HOA meeting planned for May 24 at 7 p.m. in the park. In case of inclement weather, date will be moved forward one day. All residents are invited and encouraged to attend. Please bring lawn chairs.
- new HOA insurance policy is being considered
- curbside car parking complaints will be looked into
- park mowing contract submitted by Mike S. has been approved by the board. Total annual (for 15 mows) is $2220.00
- there will be NO EASTER IN THE PARK this year

New Business: LED lighting is being discussed: to install at Westwood Main park entrance, and to replace lighting in the pavilion. Board has voted and approved and will be getting prices.
Neighborhood Watch signs throughout the neighborhood are showing signs of wear and will be replaced.
All fall activities, including Halloween in the park have been cancelled.

Westwood Estates CIA Annual Meeting January 27, 2020 at Mary Branch Elementary School
Call to order: 6:42 p.m.

Old Business:
Board moved to have Association Services turn past dues of $200+ to collection agency. Motion carries.
National Night Out 2019 was well attended by residents (over 100) and city officials. It was sponsored by John Byers.
New Business:
Theft, vandalism and children playing unsafely in middle of Westwood Main. The board is encouraging residents to immediately call Bryan Police if you see any of this activity 979-361-3888.
Two board positions open: Mark Coppock and John Byers were voted in and re-elected to the positions.
Association Services was voted to continue to do Westwood Estates HOA services.
If you have any concerns, please call Mike Stafford 979-218-5855. Mike works closely with the board.

WECIA Nov.18, 2019 Board Meeting
Call to order 7:05 p.m. at the park

Treasurer’s Report: $33,263.78
Old Business: Halloween in the park was held Oct. 31. It was well attended with approx.. 135 total. John Byers sponsored; providing food, bounce house, haunted house.
John will turn in receipts to board for reimbursement on some items.
Board approves Mike S. to represent the board in visiting residents at homes that are behind in payment of HOA dues. After that, legal process in in place for collecting.
Board is still waiting for bids for park tree trimming. If anyone is interested please contact us.
New Business: 2 board positions open for 2020.
Annual WECIA Board meeting set for Jan. 27 at 7 p.m.; location to be announced. Board will have a short meeting before annual meeting. Proxies will be mailed out by Association Services.
Next meeting will be held immediately before the annual meeting on January 27.

WECIA Oct. 8, 2019 Board Meeting
Call to order 7:10 p.m. at the park
Board members present: Shelton, Mark, Michael, Elaine
Others present: Mike Stafford, Sabrina Clark
Old Business: Halloween in the park, Oct. 31. John Byers will sponsor; providing food, bounce house, haunted house.
Board members will help make people aware of announcements during the party.
Start time is 5:30 p.m.
Board will cover the expense of the costume contest prizes.
For future parties, we should consider serving homemade ice cream (made by residents.)
New Business: 1) review and inspect park trees
2) trailer parked on Wilderness was observed, no violations found
3) board voted and approved Mike S. to spend up to $850 for merry-go-round paint and repairs.

Treasurer’s Report: $34,190.07
Block and Officer’s Report:attempts are being taken to assure lawns are maintained, cars are appropriately parked. Other minor complaints will be handled when possible.
Old Business:
Board has reviewed bid for park maintenance and repairs
Board approves repainting of entrance signs ($326.43) and park signs ($283.24) repainting the park slide ($188.55) and repairing/replacing soccer goals ($457.45). Total for maintenance is $1255.67. This work will be completed by John Coppernoll. He is currently the park maintenance.
Board will set aside for discussion; trash can replacement, volleyball net replacement, and park rules sign.
Merry – go – round will be repaired.
Easter party expenses will be reimbursed.
Board will discuss further the park retaining wall.
New Business:
National Night Out party in the park planned for October 1. Flyer will be at residence doors.
