Westwood Estates Community Improvement Association

Board Meeting Monday March 28 – minutes

Call to order:  6:17 p.m.

Roll Call:  16 people attended; 4 board members, City of Bryan Code Enforcement officer Mary, Jack Gressett with Association Services, and 10 residents

Minutes from last meeting:  minutes were approved as posted

New Business:

  1.  Easter party at Westwood Park will be Thursday April 14 at 6 p.m.  There will be an Easter Egg Hunt and pizza
  2. A third trash can will be placed in the Westwood Park yard specifically for dog waste.

Block Report:  Chain saw sounds are reported to be heard in the forested area between Westwood Main and Traditions Drive.

Next Board Meeting:  The next board meeting will be announced soon.

WECIA 2022 Annual Meeting minutes

Westwood Estates Community Improvement Association

Annual Meeting of Monday March 28, 2022 – Minutes

Call to order:  7:00 p.m.

Roll Call:  17 people attended; 4 board members, 11 additional homeowners, 1 member of Association Services, and City of Bryan Code Officer

Minutes from last meeting:  Minutes were approved as posted

Financial Reports:  as of December 31, 2021 balance is $29,476.01

Old Business:

  1.  Unfinished driveway on Westwood Main concerns were brought up to the Code Officer present.  City of Bryan had approved the driveway.  Code Officer will do more research.
  2. Future Annual Meetings will be held in January as stated in the bylaws
  3. Language used on the 2022 Proxy “This proxy to remain in effect for eleven (11) month from the date listed below.” will be changed so that the signed proxy is effective for only the annual meeting it is intended for
  4. Newsletter in print will be delivered to doors on weekend of April 9-10.  This newsletter will include Board of Directors information and other important information.  It will also include the WECIA Easter Egg Hunt party announcement.  Party will take place on Thursday April 14.
  5. New meeting signage will be made as the current signs are old and hard to see.

New Business:

Board member election: There were a total of 67 proxies collected for this meeting, 15 property owners present which equals a total of 82 votes.

  1.  Mark Coppock’s term was up. One new board member has been voted in.  His name is Billy Evans.  His home is on Rolling Glen.
  2. John Byers’ term was up.  However, he will continue to serve on the board.

Annual HOA Meeting for 2022 will be held on Monday March 7 at 6 p.m. at the fire station next to Mary Branch School on Villa Maria Rd.

Minutes from WECIA Board meeting 9/20/2021

WECIA board meeting agenda, September 20, 2021

Call to order: 7:00 pm

Members present: Shelton, John, Mike, Elaine plus 2 guests

Minutes from last meeting approved:  yes

Treasurer’s Report:  not available

Block Reports:  items from leaning pole on WW Main were left behind and the pole is still under repair

Old Business:

1)  water leaks in the park; repairs have been made by Mike Stafford

2)  installation of community little library; library is installed and ready for visitors; located at park entrance on WW Main

3)  Payment for park maintenance for past two months and for light installed at pavilion will be sent.  Board will check on sending out payment on a fixed day of the month.  Association Services reimburses members for work or purchases.

4)  National Night Out Party for Oct. 5 is registered; first responders should visit the party

New Business:

  1.  Three block captains (Debra, Walter, and Brad) have been left off the newsletter.  They will be contacted and added as amendment to newsletter
  • Blind curve on Westwood Main is dangerous when there are vehicles parked.  Board will check into this hazard.
  •  Annual meeting which is normally in January will be moved to March so that the park pavilion can be used for the meeting

WECIA scheduled board meeting of Monday August 23, 2021

Call to order:  7:01 p.m.

Members present:  Sheldon, Mark, Elaine, Mike

                                   3 guests present; Jack Gressett (Association Services) attended

Treasurer Report:  Balance of $34,938.03 as of 7/27/2021

Minutes from last meeting were approved

Old Business:

  1.  October’s Household Hazardous Waste ad will be visible on WECIA website.
  2. Leaning utility pole on Westwood Main will be repaired by end of August.
  3. Architectural Committee Form was updated and sent to Michael Brackin (head of ACC).
  4. National Night Out of Tuesday October 5 plans were confirmed; community support such as Police and Fire Depts. will be present.
  5. Halloween Party in the park on October 31 plans were confirmed.
  6. Annual WECIA newsletter to be mailed out in September.  Newsletter will contain relevant information for residents.
  7. Free little library will be constructed and open soon.  A resident has organized the project.
  8. Mike S. continues to work on the water leaks in the park.  Water to the park is currently off until he finishes the project.

New Business:

  1. Included in the annual newsletter will be names and contact information for block captains.  Any neighborhood concerns can be reported to your block captain.
  2. WECIA website is being edited and is user friendly for residents.

WECIA Board meeting August 2, 2021

Call to order:  7:03 p.m.

Members present:  Mike, Shelton, Elaine, Mark.  There were 5 guests present.

Minutes from last meeting:  minutes were accepted by the board with one amendment:  2 LED lights were installed at the Park by Mike for a total of $160.  Reimbursement has been made.

Treasurer report:  unavailable at this time

Architecture Committee:

     Board will not have further action on gravel driveway issue on Westwood Main at this time.  Will be discussed at future meetings.

Block and Officer’s Report:

     Utility pole at Westwood Main south is leaning toward ground and will be reported.

     RV is parked illegally on Westwood Main and will be reported to City of Bryan.

Old Business:

     City of Bryan will be contacted about any yards with grass height over the codes.

New Business:

     Association Services information will be visible permanently on the WECIA (Westwood Estates Community Improvement Association) homepage.

     Hazardous Waste collection is October 30 from 7 a.m. to 2 p.m.

     National Night Out is October 5, 2021.  WECIA will have a party in the Park starting at 5:30 p.m. that day.  A hotdog supper will be served.

     Halloween party in the Park will take place Sunday, October 31 starting at 5:30 p.m.  Pizza will be served.  Costume contest for ages 0 – 12, with gift card prizes for the winners.

     Water leaks at the park – board will get a repair estimate from a plumber.

    Board voted on and approved  Annual Newsletter which will be distributed in September. 

     Board voted on and approved $250 towards the installation of a Free Little Library to be built by a resident and placed at the park entrance on Westwood Main.

Next Meeting:  Monday, August 23, 2021 at 7 p.m. in the park.

Minutes from Previous Meeting in May:  reviewed and accepted by the board

Treasurer’s Report:  Current balance is $35,575.03

Block and Officer’s Report:  none

Old Business: 

  1. memorial for deceased residents Mr. Burl Russell and Mr. James Carter was discussed.  We will discuss further about getting something for the park such as a security light at the entrance.
  2. Disc Golf goals are being considered for the park
  3. Action on gravel driveway on Westwood Main.  Board will address the problem with a letter to resident from Association Services.

MINUTES – MARCH 23, 2021 Board meeting

WESTWOOD ESTATES COMMUNITY IMPROVEMENT ASSOCIATION

Call to order:  7:04 p.m. (in the park)

members present:  Elaine, Mark, Michael, Shelton, John

Treasurer Report:  $36, 559.22

Old Business:  No old business

New Business:  

  1.  past due HOA dues total:  $3,861.00
  2. Annual HOA meeting planned for May 24 at 7 p.m. in the park.  In case of inclement weather, date will be moved forward one day.  All residents are invited and encouraged to attend.   Please bring lawn chairs.
  3. new HOA insurance policy is being considered
  4. curbside car parking complaints will be looked into
  5. park mowing contract submitted by Mike S. has been approved by the board.  Total annual (for 15 mows) is $2220.00
  6. there will be NO EASTER IN THE PARK this year

Block Report: entrance at 2818 has been mowed

Old Business: no old business to report

New Business: LED lighting is being discussed: to install at Westwood Main park entrance, and to replace lighting in the pavilion. Board has voted and approved and will be getting prices.

Neighborhood Watch signs throughout the neighborhood are showing signs of wear and will be replaced.

All fall activities, including Halloween in the park have been cancelled.

Westwood Estates CIA Annual Meeting January 27, 2020 at Mary Branch Elementary School

Call to order:  6:42 p.m.

Members of the board and residents present:  12

Minutes from last annual meeting:  reviewed and accepted

Treasurer Report:  $32,421.58.  For additional information, please contact Association Services by email:

Old Business:

Board moved to have Association Services turn past dues of $200+ to collection agency.  Motion carries.

National Night Out 2019 was well attended by residents (over 100) and city officials.  It was sponsored by John Byers.

New Business:

Theft, vandalism and children playing unsafely in middle of Westwood Main.  The board is encouraging residents to immediately call Bryan Police if you see any of this activity 979-361-3888.

Two board positions open:  Mark Coppock and John Byers were voted in and re-elected to the positions.

Association Services was voted to continue to do Westwood Estates HOA services.
